1. Who this applies to

This policy explains how PropCRM ("we", "us") handles personal data when you visit our website or use our platform. When a brokerage uses PropCRM to manage its own leads and clients, the brokerage is the controller of that data and we act as its processor — we handle it on their instructions.

2. Information we collect

• Account data — name, work email, brokerage name, role and contact details you provide at signup.
• Customer & lead data — information your brokerage enters or imports, including leads, contacts, deals, documents and WhatsApp conversations.
• Usage data — how you interact with the product, device and log information, used to keep the service secure and improve it.
• Billing data — handled by our payment provider; we do not store full card numbers.

3. How we use information

We use information to provide and secure the service, authenticate users, deliver notifications you've asked for, provide support, process payments, and meet legal obligations. We do not sell your personal data.

4. Sharing & disclosure

We share data only with service providers who help us run the platform (such as hosting, messaging and analytics), with integrations you choose to connect, and where required by law. Providers are bound to handle data securely and only for the purposes we specify.

5. Data retention

We retain account and customer data for as long as your subscription is active and as needed to provide the service. On request or account closure, data is deleted or anonymised within a reasonable period, subject to legal retention requirements.

6. Security

We protect data with encryption in transit and at rest, role-based access controls, audit logging and regular backups. See our Security page for more detail. No method of transmission or storage is completely secure, but we work to industry standards.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us — if your data is held by a brokerage using PropCRM, we'll direct your request to them as the controller.

8. International transfers

We aim to host brokerage data in the region. Where data is transferred across borders (for example, to a sub-processor), we put appropriate safeguards in place.
